General Privacy Policy

Super Advisor Pty Ltd is committed to protecting your privacy. This document describes our policies and practices for collecting, handling, storing, using and disclosing personal information. It also deals with how you can complain about a breach of your privacy and access the personal information we hold about you.

What personal information do we collect and hold?

When we provide you with any financial, accounting, taxation, SMSF administration, investment advice or any other relevant services, we ask you for information we need to establish your personal profile with us, establish any accounts, files or submit any orders on your behalf with third parties.  

We also maintain records of communications we have with you, along with any recommendations and services we provide. We may collect your information when we have face to face meetings, converse via telephone or email, or upon receipt of client application documentation and/or website enquiry forms. This can include a broad range of information from your name, address, contact details and age to information about your personal affairs including details or your needs, objectives and financial situation.

We will only collect your information from third parties, eg your bank, previous adviser(s) if you provide us with prior verbal or written authority for us to do so.

How do we use your information?

We collect, hold, use and disclose your personal information so we can provide you with services relevant to your requirements and objectives. We may also collect, use and disclose your information for related purposes such as:

  • Complying with our legal, regulatory or professional membership obligations;
  • Assisting with your questions and complaints;
  • Arranging for services to be provided by third parties;
  • Internal operations, such as record keeping, data analytics, auditing or training; and
  • Promotion of other products and services that may be of interest to you*

* We will always give you the option of electing not to receive these communications and you can unsubscribe at any time by notifying us that you wish to do so.

What if you don’t provide information to us?

 

To tailor our services and offer appropriate advice aligned with your specific needs and situation, it’s essential for us to gather pertinent information before conducting our services or suggesting any financial products. However, you have the option to withhold this information if you choose not to share it. However, in such instances, it is our responsibility to inform you that there are potential ramifications of us not having access to your complete personal information.

 

Should you decide not to provide certain or all of the requested information, it could limit our ability to deliver/provide services, or initiate applications for products on your behalf.

 

How do we store and protect your personal information?

We keep your personal information in our client files, electronically stored on servers located in Australia. These files are accessible to authorised personnel only and are appropriately secured and subject to confidentiality requirements. It is a legislative requirement that we keep all personal information and records for a period of at least 7 years.

Will we disclose your personal information to anyone?

We do not sell, trade, or rent your personal information to others. We may disclose certain information to regulatory and government authorities eg:  Australian Taxation Office, within the limits of our responsibilities, and other third parties relevant for us to conducting our services (including administrative functions), to fulfil agreements we have with you, such as (but not limited to) banks, brokers, share registries, ASIC, your other personal advisors, and product suppliers, as required for the purposes of establishing and maintaining accounts or providing the services we offer you.

We may provide your information to other entities/persons, if we are required to do so by law or under some other unusual circumstances but only in instances that the law permits.

In providing our services to you, we utilise cloud computing systems and applications, to store or process data relevant to the services we provide you. We only use providers that have, and can demonstrate that the storage of data is secured by strict security protocols, and generally with storage facilities located within Australia.   These systems include (but not limited to) our client record management systems, data servers, accounting packages,e-signing providers, portfolio management services and third party product suppliers.

The exemption to this, may occur if we are instructed (and we accept) by our clients to utilize an alternate service provider.  In this case the client takes all responsibility for privacy matters relating to their personal information using their chosen system. 

How can you check, update or change the information we are holding?

You may ask us for access to your personal information we have on file, and to correct it at any time.

Upon receipt of enough information to allow us to identify you, we may tell you what personal information we hold about you. We may also correct, amend or delete your personal information if we agree it is inaccurate, irrelevant, out of date or incomplete.

We do not charge for receiving a request for access to personal information or complying with a correction request.

In some limited situations, we may need to refuse access to your information or refuse a request for correction. We will advise you as soon as possible after your request if this is the case and the reasons for our refusal.

What happens if you want to complain?

We welcome your questions and comments about how we manage your privacy. If you have any concerns about how we manage your privacy or would like to make a complaint, please write to our Complaints Manager, at Super Advisor Pty Ltd, PO Box 1718, Wollongong DC NSW 2500 or via email to enquiries@superadvisor.com.au.

We will consider the complaint through our internal complaints resolution process and we will try to respond with a decision within 30 days of you making the complaint.

Your consent

By asking us to assist with providing services or advice, you consent to the collection and use of the information you have provided to us for the purposes described in the agreement we have with you.

Updating this policy

This Privacy Policy was prepared on 10th October 2023. If you are a client of ours, and we make any significant changes to this policy, we will make reasonable endeavours to inform you of such changes.  We may update this policy at any time, with the new version being published on our website.

If you leave a comment on our site you may opt-in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.

When you log in, we will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. If you edit or publish an article, an additional cookie will be saved in your browser. This cookie includes no personal data and simply indicates the post ID of the article you just edited. It expires after 1 day.

Embedded content from other websites

Articles on this site may include embedded content (e.g. videos, images, articles, etc.). Embedded content from other websites behaves in the exact same way as if the visitor has visited the other website.

These websites may collect data about you, use cookies, embed additional third-party tracking, and monitor your interaction with that embedded content, including tracking your interaction with the embedded content if you have an account and are logged in to that website.

How long we retain your data

If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognise and approve any follow-up comments automatically instead of holding them in a moderation queue.

For users that register on our website (if any), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.

What rights you have over your data

If you have an account on this site, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.
